Using the Colorado AFTAC Alumni Document Library

This database allows you to view information about the Colorado AFTAC Alumni Association.
Features:
Tabs
Tabs at the top of the page open the Alumni Association Databases (AFTAC Alumni Database or AFTAC Document Library) and links to external web pages.
The current selection is highlighted .
Note: The AFTAC Alumni Database tab is not visible unless the user has logged in.
Categorized Views
Documents are assigned to categories to aid in finding them easily. They may appear in multiple places because they belong to different categories.
Current newsletters can be viewed only if the members's dues are up to date, are on active duty, or have a courtesy status.
To view the current newsletters, click on the
"Current Newsletters"
link in the left navigator frame, enter your email address in the
"Email Address:"
field, click the
"Lookup Email Address"
button.
The current newsletters will be displayed when your email address is validated. All newsletter views will show the current newsletters. This validation will remain for the duration of your session.
Note: A correctly formated email address must be entered.
An error message will be displayed if you do not meet the above criteria and are directed to contact Treasurer to resolve the issue
.
Attachments
Documents may contain downloadable attachments. These attachments may be, but not limited to, Adobe Acrobat PDF files, graphic images (pictures), or installable software.
Documents must be marked private or public
Private documents are not visible to users with reader privileges or Anonymous access on the web.
Documents are checked for required fields
A Subject, Category, and Document Date are required.
Sorted by Date
The documents are sorted in descending order so that the most recent documents are displayed first in the views.
Searching is Enabled
The database is indexed to allow for searching for a specific document title and text contained in a document or attachment.
Functions of the Database:
To add a document to this database
Click the
"New Document"
button from any of the views.
New documents must be marked
"Public"
or
"Private"
, a Subject, Category, and Document Date are required.
Select Document Views in the Left Frame to filter the documents in a Category.
All documents are assigned to categories to limit the displaying of documents only in that category. Select the category in the left frame to view those documents.
To edit a document in this database
Click on the Document in the view to open the document in edit mode.
A Subject, Category, and Document Date are required.
Click the
"Save"
button to save your changes.
Click the
"Cancel"
button to discard your changes.
To flag a document as Private
You can use the
"Mark Private"
and
"Mark Public"
actions in the template to control whether anyone other than yourself can read a specific document. For example, if you have not completed the writing of a particular document, you can click the
"Mark Private"
action and others will not be able to see the document. When you complete the document, you can click the
"Mark Public"
action to make it available for others to read.
Note: Documents marked private are not visible on the web site unless the user has logged in.
To search for a specific document in a view or text contained in a document or attachment
Enter the search criteria in the
"Search"
field in the upper right corner of the page. Click on the
button to execute the search. The search criteria will be not retained for subsequent searches. The results will display in the view pane. You may return to the full document view by clicking on a view category in the left frame.
View or Download Attachments
Clicking on a document subject in any view will open the document. Clicking on the attachment file name will allow you to preview or download the newsletter.
Note: You will be presented with the save (download) dialog.
Manage Attachments
In edit mode, clicking on
button to the right of the attachment name will delete that attachment . Confirm the delete by clicking on
"OK"
or
"Cancel"
to abort the delete action.
Note: This action cannot be undone, the attachment will have to be uploaded again to be recovered.
In edit mode, clicking the
"Browse..."
button will open the fileupload dialog. Navigate to the file location and select the file. Click on the
"Save"
button to complete the upload.
Note: Uploads are not restricted. Any file type can be uploaded.
Delete a Document (Move to Trash)
In edit mode, clicking on
button at the top of the document will delete the document by moving it to the Trash Folder. Confirm the delete by clicking on
"OK"
or
"Cancel"
to abort the delete action.
Trash Folder:
Soft deletes a record which can be restored if deleted by mistake
Records remain in the trash until manually deleted
Restore Records:
Select the record(s) by clicking the checkbox to the left of each document you want to restore.
Restore the record(s) by clicking on the
"Restore Selected"
button.
Delete Records (this operation cannot be undone) :
Select the record(s) by clicking the checkbox to the left of each document you want to delete.
Delete the record(s) by clicking on the
"Delete Selected"
button.
Confirm the delete by clicking
"OK"
to delete or
"Cancel"
to keep the record.
Empty Trash (this operation cannot be undone) :
Deletes all documents in the Trash.
Delete the record(s) by clicking on the
"Empty Trash"
button.
Confirm the delete by clicking
"OK"
to delete or
"Cancel"
to keep the records.

Access level is
Reader
for all users of this database. This will prevent unauthorized modification of the design components within the database. Anonymous access is allowed for web users. Administrative tasks are available only to authorized users.
